Preliminary steps to organizing an NWAV meeting:
First and foremost, go get your rooms booked as soon as possible. If past experience is any indication, this is a huge effort and involves considerable negotiation with administrative people and, when necessary, the higher level people of the university. You’ll need one big room for the plenaries. That is typically the hardest room to secure. You’ll need at least three break-out rooms for the three parallel sessions, or whatever number of parallel sessions you decide to have. Second, secure buy-in from the publishers at a very early stage. Start negotiating with them while you’re on the ground at an NWAV meeting sometime well in advance of your planned meeting. You need the support of the publishers.
